
5-6 Weeks Prior to the Wedding Day
The couple will provide me with their vendor contracts, specific arrangements, floorplans, rehearsal, ceremony and reception locations in order for me to put together a timeline of events for the day before the wedding and the wedding day.

2 Weeks Prior to the Wedding Day

Meet with couple to present rehearsal timeline, wedding day timeline and bridal party entrance order. We will go through timeline together and make any changes or updates accordingly.

Contact all vendors and hair/makeup stylists to confirm all arrangements with the vendors, items needed on the wedding day (e.g., access to outlets, water, meals, etc.) and provide a timeline of events.

2-3 days prior to Wedding Day

Finalize wedding itinerary and put in print form for the wedding party.

Send wedding party and key family members an intro email with contact information as well as to remind them of arrival times for rehearsal and wedding day.

Communicate to the wedding party that there will be an itinerary passed out during rehearsal.

Stay in close contact with the couple if any changes or questions arise.

Rehearsal

Work with wedding officiator to choreograph wedding ceremony, processional and recessional.

Alert wedding party as to where they need to be the following day, and at what time - go through the itinerary as a group.

Communicate to ushers their responsibilities for the ceremony.

Confirm ceremony music with musicians that will play during the ceremony, as well as start times for each piece of music.

Act as a liaison with the ceremony officiator and decide what cues will be used to signal the start of the ceremony.

Assist with any preparation for the rehearsal dinner (e.g., decor, setup).
-
Per your request, attend the rehearsal dinner to assist with any logistics and to get to know your bridal party but not required.

Assist with reception and ceremony setup if applicable.

Pre-Ceremony

Facilitate on-time arrival of hair and makeup stylists and instruct them where to set up hair dryers, brushes and any other equipment.

Coordinate any food deliveries and set up and clear all meals.

Distribute floral to wedding party.
-
Ensure all ceremony vendors arrive on time to set up, items are set up accordingly.

Make sure photographer arrives on time.

Gather the couple, wedding party and immediate family for photos and assist photographer.

Ensure transportation arrives on time and instruct wedding party when to depart for ceremony.

Communicate with wedding party to ensure they are getting dressed and on-time.

Make wedding party aware of any last minute details.

Communicate with transportation driver while wedding party is on the way to the ceremony location.

Assist with reception setup if applicable.

Pick up any items if prepaid (e.g., balloons, decor).

Ceremony
-
Set up programs and other ceremony items e.g., signs, guest book, unity candles, sendoff items.

Ensure that ushers/wedding party arrive on time and are ready to pass out programs.

Alert ushers/wedding party when to begin escorting guests to their seats and remind them of their responsibilities.

Ensure that ceremony musicians have arrived and direct them as to where to set up.
-
Communicate with the couple so that they know how much time remains before the start of the ceremony.

Handle any emergencies that may arise.

Line up the wedding party for their entrances down the aisle.

Cue ceremony musicians when the wedding party is ready to begin processional.

Make sure all details are in place before the grand entrance.

Gather family and friends for after ceremony photos.

Prior to Reception

Greet vendors and instruct them where to set up e.g., wedding band or DJ, florist, and caterer.

Arrange escort cards.
-
Make sure reception flowers/décor is set up.
-
Ensure reception is set up according to floorplan.
-
Meet with head waiter and wait staff to confirm food timeline.

Set up signs, guest book and pen, champagne flutes, cake cutting utensils.

Set up table numbers/names and menu cards.
-
Set up amenities baskets, hand towels, candles, etc. in bathrooms.

Reception
-
Ensure proper flow of cocktail hour food.
-
Look over dining tables and make sure they are set up properly.
-
Help guests locate their escort cards and dining tables.
-
Assist wedding party to line up for grand entrance into the reception hall.
-
Cue band when the majority of guests have found their tables and the couple is ready to be introduced.

Cue band, photographer, and videographer when important events take place at reception e.g., first dance, cake cutting, toasts and specialty dances.
-
Cue wedding party when they are about to be announced for toasts.
-
Alert catering staff to pour champagne just before the toasts.
-
Be aware of timing of catering service and make sure people are served promptly.

Prevent and fix any problems that may arise during your event.
-
Remain easily accessible throughout the entire event in case there are any details you would like me to attend to.

Set up favor table towards the end of the evening.
-
Pack up gifts/cards, miscellaneous ceremony and reception items, and have them ready to be taken to a family member’s car at the end of the night.

Coordinate reception departure transportation.
